The process is different for each email app on iPhone. Apple Mail has the deepest iOS integration, but Gmail and Outlook for iOS both have their own signature settings. Here's how each one works.
Apple Mail: Setting Up a Signature
Apple Mail's signature settings live in iOS Settings, not inside the Mail app itself, which trips a lot of people up.
- Open Settings on your iPhone.
- Scroll down and tap Mail.
- Scroll to the Composing section and tap Signature.
- You can set one signature for all accounts, or a different one per account. Tap Per Account if you want different signatures for work vs. personal email.
- Tap the text field under your account name and type your signature.
Apple Mail's signature editor is text-only on iPhone, you can't add images or formatting directly. The signature you type here will appear as plain text in outgoing emails.
How to get a formatted signature in Apple Mail on iPhone
There's a workaround. Set up your formatted HTML signature in Mail on a Mac (Mail → Preferences → Signatures), and it will sync to your iPhone via iCloud. This lets you use a signature with bold text, links, and even images on iPhone, you just can't edit it on the iPhone directly.
Gmail App: Setting Up a Signature
- Open the Gmail app.
- Tap the hamburger menu (≡) in the top left.
- Scroll to the bottom and tap Settings.
- Tap your Gmail account.
- Tap Signature settings.
- Toggle Mobile Signature on.
- Type your signature in the text field below.
Like Apple Mail, Gmail's mobile signature editor is text-only. If you want a formatted HTML signature (with links, bold text, or a logo), you need to set it up on a computer through Gmail Settings on the web.
Signatures set up in Gmail's web settings will also appear when you compose email in the Gmail app, so set it up once on desktop and it works everywhere.
Outlook for iOS: Setting Up a Signature
- Open the Outlook app.
- Tap your profile picture or initials in the top left.
- Tap the gear icon (Settings) at the bottom left.
- Tap Signature under Mail.
- Toggle the signature on and type or edit your signature text.
Outlook for iOS has a slightly richer signature editor than Gmail's mobile editor, you can apply bold, italic, and underline formatting. But full HTML signatures with images need to be configured on Outlook desktop.
Getting the Best Results: Set It Up on Desktop First
All three mobile apps have one limitation in common: their mobile signature editors only support plain or lightly formatted text. For a signature with your company logo, colored text, links with custom anchor text, or proper layout, set it up on desktop.
Here's the workflow:
- Build your signature using the SignatureHub email signature generator on a desktop browser.
- Copy the HTML and follow the desktop setup guide for Gmail or Outlook.
- Once set up on desktop, the formatted signature syncs to your mobile apps automatically.
The Default "Sent from my iPhone" Problem
Apple Mail adds "Sent from my iPhone" as a default signature. If you're sending professional emails from your phone, delete this. It tells recipients you're composing on mobile, which creates an implicit expectation of brevity that might not match your intent, and it replaced whatever your actual signature should say.
To remove it: Settings → Mail → Signature → tap the text field and delete the default text.

Build your signature on desktop, then sync it to your iPhone automatically through Gmail or Outlook.
